We have an opportunity for an exceptionally organised and self-motivated individual to take over the role of Part-time Office Administrator/Manager. This is a very varied role, but the overall responsibility will be to make sure that office standards are maintained and adhered to.

Responsibilities will include

  • Ensure that all health and safety measures are in place and maintained, including annual H&S reviews, DSE assessments, first aid equipment etc.
  • Ensure that all fire safety measures are in place and maintained, including evacuation plans, Personal Evacuation Plans (PEPs), coordinating and chairing the fire warden meetings and training documents etc.
  • Ordering and maintaining stock levels of office equipment and kitchen supplies including stationery, paper and ink, tea, coffee and milk etc.
  • Coordinate office/departmental move arounds in the office, liaising with the IT department to ensure that all required resources are in place for each desk/area.
  • Coordinate the overall maintenance of the office including cleaning contracts, electrical and lighting tests, water coolers, blinds.
  • Ensure that employees are adhering to office standards and that health and safety issues are reported/addressed immediately.
  • Attend and represent Glide at the building’s quarterly tenant meeting with the building manager, supporting with any actions as required.
  • Monitor the reception desk, signing in guests and receiving parcels.
  • Ensure post is franked and delivered to the post room daily.
  • Support the People Forum with coordinating and arranging employee engagement activities.
  • Support the Human Resources Manager with general admin duties as and when required, including the coordination of background checks, right to work checks.
  • Administration of the eye-care voucher scheme.
  • Coordination of company fleet cars, car parking passes etc.

Who we're looking for

The role would suit someone with previous office administration/reception experience. As this is a varied role, we're looking for someone who is willing to get stuck in and really own the standards of the office and instil these in others.

  • Autonomy to work independently, managing and prioritising multiple tasks whilst unsupervised, ensuring that routine tasks and processes are completed (essential)
  • Ability to instil standards in others and to be able to manage situations where standards or processes are not being met (essential)
  • Fantastic customer service skills (essential)
  • Demonstrate a good ability to follow processes as well as identify opportunities for improvement (essential)
  • Good understanding of Microsoft packages, including MS Word and Excel (essential)
  • Experience dealing with office suppliers (highly desirable)
  • Basic understanding of Human Resources processes (desirable)
  • Ability to adhere to company processes, guidelines and policies
  • Strong attention to detail

Hours 

This is a part-time opportunity with a requirement to work Monday to Friday; however there is a degree of flexibility with the hours worked. (20-25 hours per week)

Experience:

  • Office Administration: 1 year (Preferred)
